VIM Continuous Optimization.Better every month.
A VIM project ends at go-live. The small frictions do not. Hence a monthly cycle: we find the one spot where your VIM currently wastes the most time, prepare the decision — and implement. Scheduled so your month-end closing never notices.
- One implemented improvement per month
- Cancellable monthly, no minimum term
- Your effort: ~2 hours per month
- Price on request
What you receive — every month
VIM KPI report
Key figures from your system, updated month after month: throughput times, exceptions, recognition rates. Not so that a report exists — so that you can see whether the improvements work.
Decision template with three proposals
Three concrete proposals, analysis prepared, rated by effort and impact. Your department management decides in minutes instead of meetings — you stay in control.
Implemented improvement with documentation
The chosen improvement is implemented within the same cycle: customizing, a small development or an individual video training. Documented — and checked for impact the following month.
Where the proposals come from
01
KPI reporting
During onboarding we set up VIM KPI reporting across development, quality and production — from then on it delivers the objective view every month.
02
User shadowing
Two 30-minute sessions per month: we watch real users work — selected randomly and without repeats, so no area stays invisible.
03
User interview
One structured conversation (20 minutes) with rotating participants: the workarounds and friction points no statistic will show.
04
System data & exports
Table exports from your VIM: exceptions, rejections, idle times — the numbers behind the observations.
05
Anonymized AI evaluation
Observations and data are anonymized and evaluated with AI support — patterns instead of anecdotes, with no assessment of individual people.
06
Weighting per department
Topics are weighted by department: what gets implemented is whatever has the biggest lever for that area right now.
The monthly cycle
Once, before the first cycle: onboarding — SAP user, system access, authorizations and the setup of KPI reporting across development, quality and production.

and around again
01
Insight
KPI reporting, user shadowing, interview and system data — the anonymized evaluation shows where things currently stick.
02
Decision
You receive the decision template with three prepared proposals. Your department management picks one — no further effort on your side.
03
Implementation
We implement the chosen improvement: customizing and development, or an individual video training in HD with professional audio — each with documentation.
04
Review
In the following cycle the KPIs verify whether the improvement works — and the next cycle begins.
Requirements
- SAP user with permissions for externals (set up during onboarding)
- Remote access via your standard procedure (e.g. VPN or Citrix)
- One fixed contact in the business department for selection and scheduling
- SAP VIM from version 7.5 — ECC and S/4HANA
Deliberately not part of the subscription
The cycle implements improvements that fit into one month. Bigger initiatives — rollouts, upgrades, new implementations or larger developments — belong in our SAP VIM Consulting; the subscription delivers the solid groundwork for them.
Three examples of a monthly improvement
01
Unused autoposting
Autoposting is disabled for PO invoices — every invoice costs one additional touch. Proposal: enable autoposting in a controlled way.
02
Rejections without a cause
Many documents are rejected without a comment or reason — the root cause stays invisible. Proposal: introduce a mandatory comment and evaluate the reasons.
03
Degraded learning data
Users mix up header and line information in the validation client — machine learning learns the wrong things. Proposal: on-demand training built for exactly this team.
The subscription
One subscription. Impact every month.
cancellable monthly · no minimum term · remote · price on request
The amount depends on your size and system landscape — you receive it after a short conversation, in writing and fixed. What always holds: one fixed monthly amount, one visible improvement per month. Chosen by you, implemented by us.
No contract risk
No minimum term, cancellable monthly. The subscription only sustains itself if every cycle shows tangible impact — that is exactly what it is built for.
Frequently asked questions
How is this different from the SAP VIM Executive Diagnostic?
The SAP VIM Executive Diagnostic (Health Check) is a one-off assessment with an action list — the ideal starting point. Continuous Optimization is the ongoing operation afterwards: every month one improvement is not just found but implemented, and verified for impact the following month. Starting with the diagnostic significantly shortens subscription onboarding.
What counts as a monthly improvement?
Anything that can seriously be implemented within one cycle: a customizing change, a small development or an individual on-demand video training. Bigger initiatives exceed the month — for those you receive a separate offer based on the analysis, without pausing the subscription.
Does it clash with month-end closing?
No — the cycle is deliberately scheduled so that shadowing, interviews and implementation never fall into your accounts payable closing phase.
What happens during onboarding?
Once at the start: SAP user, system access and authorizations are set up, and we build VIM KPI reporting across development, quality and production. The first insight cycle starts right after.
How does the AI evaluation work — and what about data protection?
Observations from shadowing and interviews as well as system data are anonymized before evaluation. The AI looks for patterns across all impressions — no individual is assessed, and no personal data leaves your company.
Can I really cancel monthly?
Yes. There is no minimum term and no notice period beyond the current month. The subscription has to prove itself every month — by design.
In German or English?
Both. Conversations, reports, decision templates and video trainings are delivered in the language that fits your team — mixed is fine too.
