Approving VIM Invoices From the Phone: A Native Mobile App for SAP VIM Approvers

Approvers are the one group in SAP VIM that is almost never at a desk. VIM Mobile Approval is a native iOS and Android app that puts the full approval step - invoice image, line items, COA path, comments, approve, reject, refer - on the phone, running against the standard VIM approval workflow with no change to Chart of Authority, Roles or business rules.

Every SAP VIM implementation runs into the same bottleneck, and it is never the capture layer. It is approval. Invoices sit in the approval workflow for days, not because anyone disputes them, but because the approver is on a construction site, in a plant, at a customer, or simply in back-to-back meetings. Cash discount deadlines pass. The AP team chases. The reminder program fires, and nothing moves, because the person who has to click approve is not in front of a laptop with a VPN connection.

The usual answer is the VIM Approve Invoices Fiori app. It is a good app, and for approvers who sit at a desk it solves the problem. On a phone it is still a web application: you open the browser, you are not logged in, you get redirected to the SSO page, you type a password with your thumb, the invoice image loads slowly over a mobile connection, and pinch-zooming a scanned PDF in a browser viewport is the kind of experience that makes people decide to deal with it later. Later is the whole problem.

What native actually changes

VIM Mobile Approval is a native iOS and Android application, not a wrapped web view. That distinction is not a technical vanity point, it changes four things that matter in daily use.

Push notifications. A new approval work item arrives in the SAP inbox and the phone notifies the approver. No email that gets buried, no inbox that has to be opened on purpose. The invoice reaches the approver instead of waiting to be found.

Biometric login. Face ID or fingerprint instead of a password and an SSO redirect. The path from notification to decision is two taps.

A document viewer built for a phone. The invoice image is rendered natively, with the zoom and scroll behavior people already know from every other app on their device. Line items are a list, not a table squeezed into a column.

Offline handling. On a train, in a plant, in a basement: the work list and the already opened invoices stay readable, and decisions queue up and sync when the connection returns.

All approvals, not just the easy ones

An approval app that only handles the simple cases pushes the hard ones back to the desktop, and then nobody trusts it. VIM Mobile Approval covers the full approval step for PO and NPO invoices: invoice header data, line items, the accounting assignment, the approval history with previous approvers and their comments, the attached original document, and the DP comments from upstream processing.

The actions are the ones the approver has in the standard workflow: approve, reject with a rejection reason and comment, refer to a colleague for information, and forward along the approval path. Bulk approval is there for the recurring low-value cases, with the full detail view one tap away when something looks off.

Because it is an approval client and not a second approval engine, the Chart of Authority still determines the first and next approver, the approval workflow template still runs, the business rules still apply, and VIM Analytics still records every step. Approvers can switch between the mobile app, the Fiori app and SAP GUI on the same invoice without anything getting out of sync. Substitution works the way it is configured in VIM, so a substitute sees exactly the invoices they are authorized to see.

What administrators need to know

There is no parallel configuration to maintain. The app reads and writes through the standard VIM approval services, so the COA, Roles, rejection reasons, approval option IDs and reminder settings you already maintain are the ones the app uses. Changing an approval path does not mean changing anything in the app.

Authorization stays in SAP. The app enforces nothing on its own: a user sees the work items their SAP user is assigned, and nothing else. Documents are fetched on demand rather than replicated into a separate store, which keeps the invoice data inside your existing landscape and your existing archiving concept.

And the licensing point that often gets missed: approvers who do nothing but approve invoices do not need full SAP user licenses, because VIM is licensed separately. A mobile approval client does not change that calculation, it just makes the group of approvers who never touch anything but approvals larger.

What it is worth

The measurable effect is cycle time. Approval duration is usually the longest single block in the VIM Analytics Aging Report, and most of it is not processing time, it is waiting time. Cutting the delay between “work item created” and “approver sees it” from days to minutes moves more invoices into cash discount terms and takes a recurring chase task away from AP.

The less measurable effect is that approvers stop resenting the step. Approving an invoice is a ten second decision wrapped in five minutes of logging in. Remove the wrapper and the decision happens when the notification arrives.
